Executive Assistant to the CEO

Position Overview

The Executive Assistant to the CEO and COS is a trusted partner in managing the way he spends every moment of the day. All communication will pass through you, and you will help ensure that the CEO and COS is continuously kept abreast of the items that matter most to ensure the company's success.  While this position requires some additional evening and weekend hours; once trained, there is a high level of autonomy and occasional remote work is possible upon successful completion of one's first year with the company.    

Calendar expert in outlook and Communication: Own the CEO and COS calendars to maximize his time on the priorities that matter and decide which meetings to schedule. Manage the CEO and COS using Jira. 
Sales: Ensure key accounts that the CEO has identified have him involved when needed, and are moving forward utilizing Salesforce pipeline).
Marketing: Ensure CEO has time scheduled to focus and write key papers and presentations. 
Pull Jira portfolio reports and have previous portfolio and reporting experience required. 
Facilitate and take part in weekly executive meetings & prepare CEO and COS reports.
Board Relations: The CEO and COS is in regular communication with board members, and when communication comes in, you’ll want to make sure it slots into the calendar. Every other month, you’ll help prepare the executive team materials. Once a year, you’ll help ensure there is enough time in the schedule to update the company playbook and strategy. Manage and facilitate the quarterly board meeting schedule and logistics for members.

Key characteristics of a strong Executive Sales Assistant include:

Solid communication, both verbal and written, and interpersonal skills, with the ability to work with all levels of management, staff, and outside clients.
Relentless attention to detail and accuracy, and sensitivity to confidential matters.
A sense of urgency in executing work, sometimes under tight deadlines.
Knowledge of the following programs:  Microsoft, JIRA, Salesforce, Outlook, Concur.
Ability to schedule across multiple time zones.
Ability to multi-task, and work with little supervision.
Tech-savvy, quick-thinking, and stress-resistant.

Requirements:

Bachelor’s Degree
Ability to translate priorities into time allocation for the CEO and COS
Strong writing skills
Minimum of 3-years experience as an EA to CRO or EA to VP of Sales experience, including experience with Salesforce
Knowledge of CEO and COS priorities and ability to anticipate implications to scheduling. Time-management skills and ability to multi-task.
Interest and experience in using technology and the internet to improve work efficiency as well as the ability to quickly learn new systems.
